FAQ for SPR Reporting


WEB SITE FOR THE SPR WEB-BASED DATA COLLECTION APPLICATION

The URL or web address for the SPR data collection application is:

http://www2.dpi.state.wi.us/spr_dc/

You must have the appropriate passwords to access the web site for your school or district.

OBTAINING PASSWORDS TO ENTER SPR DATA

Make sure you are using the correct password because the SPR, 1202 (staff report), and 1290 (enrollment report) each use a different password. Passwords were mailed to the School Performance Report Contact in your district on June 3, 2003. If you did not receive a password, check with your School Performance Report Contact or contact the School Performance Report Help Desk at dpispr@dpi.wi.gov. Be sure to include your phone number.

If you need your individual schools' passwords:

  1. Logon to the SPR software using your district password.
  2. At the "Welcome" screen, click on the yellow "Go to District Administration screen" button.
  3. In the List Schools now showing click on "All"
  4. Scroll down to the gray area of the screen where all of your schools are listed.
  5. Click on a school name and that school's password will be displayed.

LOCKING THE DISTRICT LEVEL EXPULSION:

  1. Logon to the SPR software using your district password.
  2. At the "Welcome" Screen, go down to "Select SPR subject for date entry" then click on the down arrow and select "District Level Expulsion" from the drop down box.
  3. At the "Indicate the method for entering data" prompt select your district's method of usage.
  4. Once the information has been completed, click on the save button under "action".
  5. Then click on the "Lock District Level Expulsion" button at the bottom of the page to lock and submit to DPI.

LOCKING SCHOOLS WITH NO DATA:

  1. Logon to the SPR software using your district password.
  2. At the "Welcome" Screen, click on the yellow "District Administration Screen" button.
  3. When the District Administration Functions screen is displayed, click on the "All" choice at the end of the "List Schools" line.
  4. The refreshed District Administration Functions screen will now show all your schools and the status of your individual reports, Attendance (ATT), Expulsions (EXP), Dropouts (DRO), Graduations (GRA), etc.
  5. Find the report you wish to lock that has school(s) with no data.
  6. In the teal area click on the hyperlink in the row titled "To lock all schools WITH NO DATA"(4th row). Once the screen has been refreshed you will see in green by the school and under the report name that your school has been locked with "click here to unlock" in purple.

TO UNLOCK A REPORT:

  1. Logon to the SPR software using your district password.
  2. At the Welcome Screen, click on the yellow "District Administration Screen" button.
  3. When the District Administration Functions screen is displayed, click on the "All" choice at the end of the List Schools line.
  4. The refreshed District Administration Functions screen will now show all your schools and the status of your individual reports, Attendance (ATT), Expulsions (EXP), Dropouts (DRO), Graduations (GRA), etc.
  5. Find the report and school you wish to unlock.
  6. Click the blue word "Unlock".
  7. When the screen is refreshed, you should see that the green "Locked" message has disappeared. You can now go into the report itself for that school and changes your counts.

CHECKING TO SEE IF YOUR SPR DATA HAS BEEN SUBMITTED TO THE DPI

For those of you who want to check to see if your SPR data has been submitted to the DPI, here's how you do it. At the "Welcome" screen, click on the yellow "Go to District Administration Screen" button.

  1. When the District Administration Functions screen is displayed, click on the "All" choice at the end of the List Schools line.
  2. The refreshed District Administration Functions screen will now show all your schools and the status of all of your individual reports, Attendance (ATT), Expulsions (EXP), Dropouts (DRO), etc.
  3. Scroll down to the gray area of the screen. If you have locked and submitted your reports to the DPI, you will see "Submitted" and the date displayed in red below each report type, next to each school.
  4. If you see "NA" instead, it means that particular report is not applicable to that school.

I noticed there are erroneous enrollment numbers for a school in my district. Where did those numbers come from? How can I change them?

Your district reported those enrollment numbers in its PI-1290 Fall Enrollment Report. You cannot change the numbers or erroneous gender or race/ethnicity designations through the School Performance Report. It is critically important that you review the enrollment numbers each fall before the enrollment data is submitted to DPI. Once the enrollment data has been "frozen," it cannot be changed through the SPR or any other application.

What is needed to lock the data? You will need to place a minimum of .5 in possible and actual day under Section I-(Grade) and Section II (Gender/Ethnicity) or more depending on the number of students. Then report the correct numbers under possible and actual day in Section I (Grade) and Section II (Gender/Ethnicity). When your district publishes the report you will need to make a note of the discrepancy.

ATTENDANCE

The district/school should count all students who attend their schools, especially if they were included in the third Friday enrollment count (PI 1290). So, attendance for

  • open enrollment students should be counted at the school they attend
  • students taking college courses should be counted at the high school in which they are enrolled
  • special ed students and other students (multidistrict charter, for example) should be counted in the school in which they are enrolled
  • some, not all, early childhood students are counted on the attendance report (daycare "students" supervised by non-certified teachers are not counted)

OPEN ENROLLMENT STUDENTS

For purposes of the School Performance Report, open enrollment students are counted by the school district they attend.

PRINTING SCHOOL-LEVEL REPORTS

To print Attendance (ATT), Habitual Truants (HTR) or Retentions (RET) for all schools, log on as a district and click on the "Go to the District Administration screen" button. Select "All" or the range of schools you would like printed. Click on one of the blue links, "ATT", "HTR" or "RET". From the menu bar at the top of your screen, press the printer icon or select "File, Print".

For all other reports or to print one school at a time, log on as a district and go to the District Administration screen. Select "All" or the range of schools you would like printed. Click on the "Welcome Screen" link in the turquoise box. Under, "Select SPR subject for data entry", choose the report you wish to print. Tab to, "Indicate the method for entering data", and select "On-line (via Web)". Click on the name of the school whose data you wish to print. From the menu bar at the top of your screen, press the printer icon or select "File, Print".
